Meet Our Team:

As a Facilities Coordinator at Pega, you will be part of the global facilities team. This team is committed to providing a workplace environment that is safe, clean, and secure for all employees and contractors.

 

Picture Yourself at Pega:

In this role, you will be tasked with the upkeep of the Amsterdam office, collaborating with the Facilities Manager and relevant vendors.

 

What You'll Do at Pega:

Helpdesk & Issue Resolution
•    Manage the Amsterdam facility helpdesk; raise and resolve facility tickets in a timely manner
•    Coordinate with building management and service vendors to address facility issues and requests
•    Proactively engage with employees to assist them with any facilities-related needs
•    Act as the primary emergency contact for the office and coordinate response during emergency situations
Workplace Experience & Events
•    Support the planning and execution of events and town halls as requested by the business
•    Maintain the overall look and feel, ensuring cleanliness, orderliness, and a welcoming atmosphere in the office
•    Manage meeting room bookings, desk reservation systems, and related workplace technology platforms
Space & Sustainability
•    Use workplace systems to monitor and report on office utilization, space optimization, and sustainability data
•    Cooperate with and support the ESG team on related matters and initiatives, with special attention to tracking and reporting on energy consumption, waste management, and other environmental KPIs
•    Support space planning activities, including minor reconfigurations, moves, and desk allocations
Health, Safety & Compliance
•    Support EMEA audits and facility inspections
•    Act as the local Health & Safety representative; ensure compliance with applicable regulations (including Dutch Arbowet requirements)
•    Maintain up-to-date records of emergency procedures, evacuation plans, and relevant certifications (e.g., BHV/EHBO in the Netherlands)
•    Conduct or coordinate regular safety walkthroughs and report findings to the appropriate stakeholders
EMEA Collaboration
•    Support Facilities Coordinators, Executive Assistants, and Office Managers across the EMEA region
•    Serve as the Amsterdam point of contact for EMEA-wide facilities projects, initiatives, and communications
•    Assist with onboarding logistics for new employees, including workspace setup, equipment delivery, access cards, and office orientation
•    Arrange equipment pick up from leaving employees
Vendor & Finance Administration
•    Handle Amsterdam facilities related billings and invoices from vendors; verify invoices against purchase orders
•    Coordinate with the Accounts Payable department to ensure timely processing of required paperwork
•    Scan, copy, and file documents in accordance with record-keeping requirements
•    Assist in managing the local facilities budget; track expenditures and flag deviations to the line manager
Reception Coverage
•    Answer phone calls and direct them as needed
•    Greet visitors and announce their arrival; provide beverages upon request
•    Manage daily visitors through established processes, ensuring security and privacy
•    Manage the distribution and tracking of temporary access cards
•    Assist employees, visitors, and candidates with parking arrangements and validation
•    Assist with the scheduling of ride services as needed
•    Handle incoming and outgoing mail, courier bookings, and deliveries

What You've Accomplished:

•    Minimum of 3 years of experience in a comparable role
•    Strong overall computer literacy, with advanced proficiency in the Microsoft 365 suite
•    Demonstrated knowledge of, and interest in, leveraging AI tools to improve efficiency and workflows
•    Ability to remain calm and effective in a fast‑paced environment, with strong interpersonal and verbal communication skills
•    Natural ability to build rapport, connect with new people, and make others feel comfortable
•    Fluency in both Dutch and English

Additional Preferred Qualifications: 
-  General knowledge of the EHS regulations

Additional Information

Base salary range for this role is EUR annually. This role may also be eligible for annual bonus OR commission, as well as benefits and other incentives.

The final compensation will be determined during the offer process based on the candidate's education, experience, skills, and qualifications, as well as market conditions and may vary from the posted range. We will share an information on benefits, bonus/commission, and other pay components for this role at the relevant recruitment stage.
